No fine-print games. This is the standing agreement between VirrTech Solutions and every client — for consults and for projects. For builds above KES 60,000 your signed written quote is the contract; this page is the framework it sits on.
The KES 500 consult fee holds your slot and is paid upfront by card or M-PESA. It is flat — not an hourly meter — and gives you 30 minutes of honest direction from a senior builder, even when the honest answer is "you don't need us yet".
It is refunded in full only if we miss your slot. Otherwise it is non-refundable: the slot is reserved and our time is set aside for you. Booking a consult does not obligate you to start a project.
After the consult you get a written fixed quote: scope, timeline, price, inclusions and exclusions. Quotes are valid for 30 days.
Work begins only after you approve the quote in writing (WhatsApp or email counts) and we receive the deposit.
Anything beyond the written scope becomes a change order: quoted within 2 business days, approved in writing, then built. Small tweaks under 30 minutes during a build are free.
Default on every project: 50% deposit to start work, 50% on completion — due before full handover. This protects both sides: you never pay everything upfront, and we never carry a finished project unpaid.
Lipa Pole Pole: zero-interest installments available on builds up to KES 60,000 — the deposit is never more than half, and the balance splits into agreed installments.
Larger builds (KES 60,000+): the written quote may set a milestone schedule (for example 30/40/30 across phases). Each milestone is invoiced as it is completed; the final milestone clears before full handover.
No work starts before the deposit clears. If an invoice passes 7 days overdue, work pauses until it is settled; past 21 days the project is cancelled — you keep everything completed and paid for, we keep the deposit for time already spent. M-PESA and bank transfer accepted.
If you cancel: every hour already invested is paid for — completed milestones, plus any part-done work valued fairly at the quoted rate. We refund only what was prepaid beyond that, within 14 days. Before kickoff (no time spent yet): full refund minus bank fees.
If we fail to deliver per the written quote: we redo the work free or refund it — your choice.
Deposits are non-refundable once work has started — that is the commitment that lets us book real time for your project instead of chasing other work.
No full delivery before final payment. For milestone builds, each finished phase is delivered as its payment clears; the complete handover happens at the final payment.
You own what you pay for: code, design, domain and accounts are opened in your name from day one, credentials shared at kickoff. No hostage-taking, ever.
After launch you get 30 days of free defect fixes, then optional care plans from KES 2,500/month (security, backups, updates, monitoring, support). Year-one hosting is free with every build.
WhatsApp is our primary channel; milestone reviews happen within 2 business days. Content and asset deadlines are agreed at kickoff. If a third party (hosting, DNS, payment providers) delays things, timelines extend fairly — and if we see a slip on our side, we tell you before the deadline passes, not after.

We build to the written quote with professional care. Our total liability on any project is capped at the amount you have actually paid us.
Disputes start with a conversation — email or WhatsApp — and we commit to resolving any issue within 14 days. This agreement is governed by the laws of Kenya.

By booking a consult, approving a quote, or paying us any amount, you accept this agreement. Large engagements are confirmed with a signed written quote — no project starts without it, and no work begins before the 50% deposit.
